THE PROCESS OF PRINCE2 PROJECT

PRINCE2 Foundation and practitioner certification is a methodology, Process-based approach to Project Management. PRINCE2 Project can be tailored and scaled, providing an ease while managing the projects irrespective of the size and type of the project.
As PRINCE2 methodology is a process-driven project management method, under this, projects are divided into several stages and managed separately. Each process has its key inputs and outputs and an objective achieved while carrying out the activities in the actual project environment.
PRINCE2 Foundation and Practitioner Certification programs in methodology certify its practitioners through training, the business practices are evolved based on the reviews and feedbacks provided by practitioners.
In one of our previous blog, you might have read about the PRINCE2 principles. There are Seven Themes and Seven Processes along with the Seven Principles.
The Principles and Themes play a vital role in all the seven processes.
Let’s Begin, with the Processes of a PRINCE2 Project
#1. Starting Up a Project
Fundamentally, it is a Pre-Project process, takes place even before the PRINCE2 Project starts. This project process defines several aspects such the reason behind initiating a project as well as the expected outcome, verifying that the project is worth doing. During this stage, the key members appoint the project team and further the project team plan the initiation stage.
The key-activities include:
  • Forming the Project Board
  • Appointing the Executive and Project Manager
  • Design and Appoint the Project Management Team
  • Briefing the project
  • Defining the project approach
  • Outlining the Business Case
  • Planning the Initiation stage
#2. Initiating a Project
This Process builds on the work of start-up process and uses the project brief to prepare other management documents, defining the Project Product, product quality, the timeline of the project, estimated cost, risk analysis, and resource requirement. Several aspects define the overall Project Plan and settle the business case. The output document of this process is called the Project Initiation Documentation (PID).
Key activities Includes:
  • Preparing the Risk Management Strategy
  • Preparing the Configuration Management Strategy
  • Preparing the Quality Management Strategy
  • Setting up the project Control
  • Creating the Project plan
  • Finalizing the Business case

#3. Directing a Project
The Project Board’s responsibility is to guide a project. This is an ongoing process from the beginning till the closure of the project. The Project Board delegates the projects responsibility, manage and monitor the process via reports and controls through several decision points.
Key activities are:
  • Authorizing Initiation
  • Authorizing the Project
  • Authorizing the exception plan or the stage
  • Giving Ad Hoc Direction (Guiding, Directing and Monitoring the Progress)
  • Authorize Project Closure
#4. Controlling a Stage
Controlling a stage is a process that describes the monitoring and control activity of the project managers. In this process, the project manager does many of the work, from seeing towards all the work that takes place during this stage and taking corrective action to observe or managing change and communicating with stakeholders (reporting).
Its key activities include,
  • Authorize the work packages
  • Progress Assessments
  • Apprehend and Manage project issue
  • Monitor and Control risk
  • Status Review and Report highlights
  • Taking corrective actions
  • Accelerate Project issues
  • Receiving complete packages
#5. Managing Product Delivery
Managing the product delivery process control the link between the Project Manager and Team Manager, with an objective to ensure work on the product is allocated, team manager and project team members are clear with the project goal, expected efforts, cost, timeline, and quality, execute and deliver project work ensuring expectations are managed.
Key activities include:
  • Accept a work package
  • Execute a work package
  • Deliver the Expected work package
  #6. Managing Stage Boundaries
Controlling a stage define the different stages involved in the project process. Wherein, this PRINCE2 process defines what has to be done at each stage or towards the end of each stage. With this, the next stage is planned. It gives an idea about the stages that have gone outside the tolerance level and is reported to the project board based on the comparison of each stage project plan and actual results.
Key activities Includes:
  • Planning a stage
  • Updating the Project Plan and Business Case
  • Updating the risk log
  • Reporting stage end
  • Preparing an Exception plan
#7. Closing a Project
A PRINCE2 project never ends at the fulfillment of the objective of the project but, ensure that the project products are delivered and approved, necessary maintenance is ongoing for the project product and the project team is set to deal with issues or risks, therefore, project closure takes place.
Key activities include:

  • Formally De-commission the Project
  • Project Evaluation
  • Identify follow up actions
